Cleaning is Essential to our Country’s Shift Toward Re-opening & Staying Open

As the world continues to reopen from pandemic closures, the challenge to develop & implement standards and guidelines is at the top of the priority list for facility managers. As a facility manager, it is very important to know and understand that; cleaning is not just for aesthetics or appearance. Cleaning is for health. It is also critical to know and understand the difference between cleaning, sanitizing, and disinfecting. Cleaning physical removes soils from the surface, while sanitizing lowers the number of germs to a safe level, and disinfecting eliminates bacteria and viruses on a surface. Keep in mind that porous surfaces such as carpet, linen, couch, and other such fabricated surfaces cannot be disinfected, only sanitized.

Here are Five Questions to Consider for Your Disinfection Plan

1. Who is most at risk in your facility?

According to the CDC, older adults and other individuals with compromised immune systems have a higher risk of severe illness from COVID-19 and other pathogens like Influenza. Facilities with high numbers of at-risk groups, such as nursing homes, will require heightened disinfection protocols than those with low-risk groups.

2. What products should be used to clean & disinfect?

Check that the products you select are listed on the U.S. Environmental Protection Agency (EPA) website and are proven to be effective against pathogens that can call illness, including SARS-CoV-2, the virus that causes COVID-19.

Defining the Policy & It’s Purpose

A health and safety policy contains an organization’s vision and general policy on health and safety at work, as well as information about how the organization puts the policy into action. This policy demonstrates your commitment to health and safety, risk management and compliance with laws and regulations. A clear and thorough health and safety policy will show your facility patrons how your organization protects them. A health and safety policy are a document tailored to each organization, specifically describing who does what, when, and how.

Preparation

Each organization is different, thus operates different as well. The health and safety policy of each organization will be uniquely different. Before putting together, the policy, facility managers will need to think about specific issues related to their facility. Health and safety staff, as well as cleaning personnel have a significant role in putting the policy together. Cleaning staff can bring their day-to-day experience of the job to the table, and their involvement will boost their motivation and commitment to following the terms of the policy.

They may be other management team members or employees that you may want to include in the policy development. In this case, a flow chart may be necessary to help communicate the different levels of responsibility of each person from top management down to front line cleaning workers. Finally, organizations must conduct a risk assessment and then show how the organization will control identified risks. The content of a health and safety policy is generally organized into three sections:

Your health and safety should include a simple statement of organization’s overall commitment to health and safety. The statement is typically about one page in length and is signed and dated by the highest-ranking person in an organization. The statement identifies specific levels of responsibility within the organization in regard to health and safety. It should state that employees are responsible for their own health and safety, but the organization pledges to provide a safe work environment, including safe equipment and procedures. It should also explain the organization’s commitment to ensuring the health and safety of employees, customers, and other building patrons.

  1. Description of Responsibilities

The second component of a health and safety policy identifies who will management risk assessments, conduct inspections and ensure safety. Larger organizations may need diagrams or charts to show responsibilities of mangers, supervisors, and other employees.

  1. How the Organization Will Reduce Risks

A risk assessment will show that your organization has assessed the risks and then followed through by addressing the risk and considering those who might be affected. Your organization must illustrate how it has dealt with significant hazards, prove that the precautions are reasonable and show that the remaining risks are low. Your organization should ensure the information is easy to understand for employees at all levels and translated if necessary.

Policy Communication and Review

Once the health and safety policy are completed, it is your responsibility to ensure that employees read and understand its content. It is important that senior leaders ask employees for their support and let employees know that eliminating hazards on the job is a personal responsibility for everyone. Finally, your management team should discuss and review the policy annually. Risks change as organizations purchase new equipment or change cleaning procedures; revisiting the policy will help keep health and safety a priority for everyone in your organization.

The first asset visitors notice when they walk in to any facility, is the floor. Day to day foot traffic plays a significant role in the deterioration of floors, especially during the winter months. When snow, ice, salt, and sand are brought in a facility on the bottom of shoes, they create scratches and worn areas on the floor – Which can affect the image of a business negatively. Each business have different types of floors, which are all uniquely affected by debris from inclement weather conditions. Frequent maintenance will protect the beauty and increase the longevity of floors.

A significant, yet overlooked, step to help secure the health of your  floors, is the implementation of proper matting. According to ISSA, It’s critical to implement preventative measures such as comprehensive matting program as 85% of dirt won’t enter a building if mats are properly placed and maintained. Although 85% of debris may be prevented from entering the facility, it’s also important to implement reactive measures to account for any dirt and debris that may its way into your facility. This should include a floor cleaning program that incorporates periodic deep cleans to keep floors in excellent conditions during the winter.

Comprehensive Matting Programs

A comprehensive matting program is a highly effective preventative measure for protecting floors, especially hardwood floors. According to 3M, without adequate matting, 42% of a floor’s finish can be removed within the first six feet of an entrance after only 1,500 people have walked in. Implementing matting such as scraper mats that feature active blades or various heights to scrape grime and debris off shoes outside front entryways. This feature helps to prevent snow, ice, salt, and other debris from entering your building and creating unwanted messes. Installing mats with drainage holes will drain moisture outside and decrease the soil accumulation on the mat as well.

While high-performance mats can help facilities combat winter floor care problems, it’s also critical to care for each mat with special attention on mats near front entryways. As facilities experience high foot traffic, especially during inclement weather conditions, mats can become over saturated if they aren’t consistently maintained. If mats aren’t consistently cared for, they become over saturated which then will cause an overflow and visitors will track more dirt and debris throughout facilities. Proper mat maintenance is critical for it to remain effective in keeping out 85%  of dirt and debris from entering a facility.

Floor Maintenance Practices

While a matting program is an effective way to keep debris from entering a facility, regular floor maintenance is also important. Here are four of the best practices to help protect your floors:
